Office Administrator Intern At CSIR 2015

The CSIR has an opportunity for an Office Administrator Intern 2015. The incumbent will be required to provide administrative support, secretarial support and front desk services to managers and staff. This position is based in Pretoria.

Key responsibilities:

 Management the BIDC reception area; includes but is not limited to answering general phone inquiries, directing phone inquiries to the appropriate staff members, sorting deliveries for distribution, directing visitors to meeting venues and ensuring the products displays and promotional material are professionally displayed and stocks are replenished;

 Purchase, receive and store the office supplies ensuring that basic supplies are always available;

 Coordinate meetings; includes arranging the venue, refreshments, preparing the agenda and recording minutes;

 Assist with the planning and arrangement of other BIDC events, includes but is not limited to training courses, stakeholder workshops, exhibitions;

 Prepare contracts, minutes, agendas, training programmes and other appropriate documents;

 Provide secretarial and administrative support to management and other BIDC staff;

 Coordinate the care and maintenance of the BIDC office building, equipment and furniture;

 Manage documents and effectively prepare contracts, minutes, agendas, training programmes and other appropriate documents in accordance to CSIR systems. Qualifications and skills:

 A National diploma in office administration. A Postgraduate qualifications would be an advantage;

 A strong work ethic (e.g. accountability and reliability) and the ability to work under supervision within a dynamic team environment;

 The following competencies are critical for this position:

o Computer literacy and a working knowledge of MS Excel, Word and PowerPoint;

o Good organisation skills; o Record-keeping skills;

o Excellent communication skills; o Ability to work accurately and pay attention to detail;

o Proactive approach to problem solving;

o Ability to work under pressure and multi task;
