Procurement Coordinator Internship Opportunity at Seriti 2016

The Internship role of Procurement Coordinator is to provide support and administration to the procurement unit. The Procurement Coordinator Intern would be responsible for making timely and cost-effective buying processes that remain within the budget of the project. This includes determining the product needs, communicate and negotiate with suppliers while setting up delivery and payment schedules. The Procurement Coordinator Intern will be based in Kramerville, Sandton and reports to the Support Service Manager.

Procurement Support
  • Coordinate the entire procurement process for Seriti Institute; including organizing procurement requirements from the Seriti provincial offices
  • Source and analyze quotations, in line with Seriti’s procurement requirements, policies and procedures and verify compliance with Supply Chain Management (SCM) policy
  • Assist the Support Services Manager in the preparations for the awarding of tenders and bids
  • Capture all purchase orders into the procurement management system
  • Communicate purchase order numbers as required; Compile monthly purchase order reports and highlight areas of concern
  • Update the procurement management system with goods that are delivered in line with orders received
  • Together with the Support Services Manager review and evaluate existing contracts
  • Ensure procurement is handled in a fair and transparent manner
  • Ensure compliance and zero tolerance for bribery and corruption
Service Provider Compliance and Support
  • Verify documents received against service provider checklist
  • Follow up on outstanding contracts and all relevant documentation
  • Input and maintain an up-to-date supplier database and maintain and update a blacklisted supplier’s database
Procurement Committees Administration
  • Schedule Procurement Committee meetings
  • Take Procurement Committee minutes
  • Assist with the preparation and distribution of the Procurement Committee packs
Administration and Filing
  • Archive successful tenders and proposals
  • Archive and file all procurement related documentation
  • Assist with preparation of the Procurement packs for submission to management and stakeholders
Asset Management Support
  • Receive and check asset registers from the Provincial Administrators on a monthly basis
  • Submit updated asset registers with supporting documentation to stakeholders no later than the 10th of every month

  • Relevant qualifications and/or extensive experience in procurement, tendering and contract management,
  • Demonstrated skill and experience in contract negotiation and dispute resolution
  • Demonstrated skill and experience in developing and maintaining organisational procurement and purchasing processes within the government and public sector environment
  • Knowledge and understanding of contract and competitive tendering procedures
  • Degree in purchasing or supply chain management; or public procurement; or supply chain and logistics management
  • Microsoft Outlook, Word, Excel, Power Point
  • Fluent English (written and spoken)
