Internship at CSIR 2018

The CSIR has an Internship opportunity for a Group Assistant Intern who will provide secretarial and administrative support to managers and staff in the Information Security Competency area groups within the Modelling and Digital Science unit.

This position is based in Pretoria.

Key responsibilities:
  • Complete assigned general administration duties to the functioning and practices of the departments;
  • Receive and dispatch documentation (e.g. mail, contracts, invoices), and keep a register for in and out post;
  • Manage invoices for payment on the CSIR systems, and track that payments have been made, or follow up on non-payment;
  • Prepare travel itineraries and make the necessary bookings using the CSIR systems;
  • Organise meetings and events according to the needs of the managers or programmes
  • Draft agendas for meetings and/or take minutes for meetings in line with specific meeting purposes and objectives;
  • Type and prepare documents accurately, timeously and in accordance with the specific needs to which the document is required;
  • File documents electronically and manually; proper maintenance of records and easy retrieval of documents as and when required;
  • Provide secretarial support to the managers and the research group (if required), including diary, telephone, filing and other office duties;
  • Acquire, maintain and apply sufficient knowledge and skills to effectively utilise various software programs and systems relevant to the office environment (e.g. Microsoft Office Suite, GroupWise email);
  • Ensure that the office functions effectively, including the ordering and management of equipment, stationery, etc.
Qualifications, skills and experience:
  • A national diploma in office management or business administration;
  • Basic understanding of Microsoft Office packages;
  • Excellent interpersonal, administrative and organisational skills;
  • Ability to exercise tact and good judgement with highly-sensitive information;
  • Ability to do work accurately and meticulously.
  • Demonstrated skills in: attention to details, relationship building, customer service, ethical behaviour, initiative, self-management (planning, prioritising and time management), verbal and written communication, teamwork and verbal comprehension.
