Audit Planning:
- Efficiently plan all relevant audits for both new and existing customers in accordance with their specific requirements.
Daily Administration:
- Maintain day-to-day administrative tasks, including:
- Coordinating logistics and courier services as needed.
- Managing sample coordination with the laboratory and tracking results.
- Ensuring timely delivery of audit reports to clients.
- Keeping the tracking sheet up to date for management reporting.
- Implementing and maintaining an accurate filing system.
- Managing all client audit files electronically and meeting KPIs for each stage of the audit process.
- Ensuring that all activities adhere to established process flows.
Scheduling Tasks:
- Perform routine scheduling tasks with precision, paying close attention to deadlines and accuracy. This includes:
- Updating the audit schedule and A.LIMS audit plan on a daily basis.
- Scheduling auditors and sites effectively.
- Maintaining and monitoring audit dates in the diary/tracking sheet.
- Communicating with auditors to confirm dates and providing them with relevant information about upcoming audits.
- Submitting accepted quotes to the finance department for invoicing.
General Administrative Duties:
- Handle general administrative duties such as:
- Coordinating courier collections and deliveries as needed.
- Assisting with other administrative tasks as they arise.
Quality Assurance:
- Ensure the highest quality in the execution of all deliverables associated with the role.
Customer Queries:
- Address any queries received from clients, auditors, and the food safety inspections team promptly and professionally.
Requirements
- Preference will be given to employment equity candidates.
- Matric (Grade 12)
- Degree or Diploma in Biotechnology or Microbiology.
- Experience in data capturing and administration.
- Proficiency in Microsoft Office especially Excel.
